Backups and updates

Daily automatic backups, restoring onto the same or a new server, data retention, and updating the server, players and tablets.

Automatic backups

The server backs itself up every day. Set it up under Settings → Backups:

  • Back up automatically every day, and the time. If the server is off then, it backs up as soon as it's back.
  • How many to keep.
  • The folder. A second drive or a network share is safest, so a failed disk doesn't take the backups with it. For a network share, the server's computer account (the service runs as Local System) needs permission to write to it.
  • Also copy media files (images, videos, PDFs) into the backup folder, if you want those mirrored too.

A backup holds the whole configuration and the room-sign branding files, compressed, in a file named like vistapane-backup-v1.2.3-2026-10-19-023000.json.gz. Each saved backup can be downloaded or restored from the same page.

Settings → Backup also downloads the configuration on demand, which is handy before a big change.

Restore

  • On the same server: go to Settings → Backups and choose Restore next to a backup.
  • On a new server: install Vistapane Server on the new PC, sign in, and restore the backup from Settings → Backups. If you didn't mirror media into the backup, copy the old data\media folder across too. If the license doesn't come across, see Move the license.

Displays reconnect on their own if the new server has the same IP address or name. Otherwise, change the server on each display with Ctrl+Shift+S.

Data retention

Settings → Data retention sets how long the server keeps history. Older records are deleted once a day.

  • Proof of play (play counts and screen time)
  • Room sign activity (check-ins, no-shows, walk-ups)
  • Ended alerts. Active alerts are always kept.

Your screens, content and settings are never deleted by this.

Update the server

  1. Download the new VistapaneServer.exe.
  2. Run it on the server and click Update.

Settings, media and the license stay as they are, and screens reconnect by themselves. The new version usually includes newer Vistapane Player and Vistapane Panel downloads too.

Update Vistapane Player

Download the latest VistapanePlayer.exe from Settings → Connecting devices and run it on each display PC. It updates in place and keeps its settings. For many PCs, push it with the same --install --quiet command you used to roll it out (Display PCs).

Update Vistapane Panel

See Updating the app. Most changes need no app update, because the sign itself comes from your server.
